The team works hard, the coverage is good, the report goes out on the 1st, and a day later the client asks: so what did this do for us?

A PR coverage report that only lists links can’t answer that question, however long the list is. The fix isn’t more slides. It’s a different order and a few better choices about what goes on each page.

This is the structure we recommend for a monthly PR coverage report. It works for a startup with six stories a month and for a listed company with sixty.

Start with the outcome, not the list

Write the three summary lines last, but put them first.

Open with three lines a client can forward to their boss without editing: what ran, where it ran, and what it meant for the business. For example: “12 stories this month, including Economic Times and Mint. The funding story reached investors and three hiring stories reached engineering talent. The new product line was mentioned in 7 of 12 stories.”

Most reports put the summary at the end, after forty slides of clippings. By then the reader has stopped. When the outcome is on page one, the rest of the deck becomes evidence for it.

Key takeaway

If the client reads only one slide, it should be the one that tells them what changed.

Group coverage the way the client thinks

Clients rarely think in “print” and “online”. They think in audiences: customers, investors, future employees, regulators, partners. Group stories by the audience they reached, then by tier inside each group.

Tier 1 is whatever the client’s CEO reads, not a fixed list of titles.

Agree the tiers with the client once, in writing, at the start of the retainer. A fintech’s tier 1 may be Mint, Economic Times and Moneycontrol; a D2C beauty brand’s tier 1 may be Vogue India and a handful of creators’ newsletters. When the tiers are agreed, nobody argues about them every month.

What each part of the report should contain

Summary: the three outcome lines, the month’s numbers, and one highlight story.

Activities: what the team did (announcements, pitches, interviews, op-eds) and what each led to.

Coverage summary: stories by audience, tier and medium, with the count of publications.

The clips: one story per page with the publication, date, headline, journalist, a one-line summary and a screenshot.

What’s next: two or three things planned for next month.

If you want a ready-made version, our monthly PR report template lays out each page.

Write a one-line summary for every story

A screenshot shows that a story exists. A one-line summary shows what it said. “Founder interview on why the company is moving manufacturing to Pune; quotes the CEO on hiring 200 people” is far more useful to a client than a cropped image they have to zoom into.

Mark whether each story carried the client’s key messages. This is called message pull-through, and it is often the metric clients understand fastest. We explain how to score it in this guide to message pull-through.

Show one number that moved

Pick one number and show its trend every month: share of voice against two named competitors, the percentage of stories carrying the key message, or how often AI assistants such as ChatGPT name the brand when buyers ask about the category. One moving number is more persuasive than ten static ones.

Avoid advertising value equivalency (AVE). The global measurement body AMEC has said for more than a decade that AVE is not the value of PR, and many in-house teams now reject reports that lead with it. Our post on PR metrics that matter covers what to use instead.

Make the report easy to check

Every story has the date, publication and a working link

Paywalled stories have a screenshot or PDF so the client can read them

Regional language coverage carries a one-line English summary

Numbers in the summary match the clips that follow

Syndicated pickups are counted separately from original stories

Small errors cost trust out of all proportion. A wrong date or a broken link makes a client wonder what else is wrong.

Spend the time on judgement, not formatting

Account teams often spend a full day each month copying headlines, taking screenshots and resizing images into a deck. That time is better spent on the summary and the “what’s next” slide, which are the parts clients actually read.

ProofPR’s coverage reports build the deck from a list of links in your own template: every clip, date, headline and table filled in, ready for your team to check and send.

Whatever tool you use, the principle is the same. Lead with what changed, group stories the way the client thinks, and make every claim easy to check. That is a report clients read, and forward.

Most PR coverage reports are a list of links.
